Our Dynamic Roles feature allows companies to convert user data attributes such as Team name, Job Title, or Location that are already linked to employees into a Dynamic Role that could be assigned to Badges and Catalogs to restrict access. This eliminates the manual work of creating a Custom Role and then assigning it to users who should have the role by syncing the data in instead.
Our Enterprise customers will have access to sync all attributes, Mid-Market customers will be able to sync Manager and Company Admin attributes, and our Start-Up package customers will be able to sync only the Company Admin attribute.
To Sync Dynamic Roles (Automatically or On Demand) as a Company Admin:
- Select 'Menu' in the upper right-hand corner of your screen
- Select 'Company Admin' from the drop-down menu
- Select 'Roles' from the left side menu
- Select 'Settings' from the top right tertiary menu
- Next to the attributes you'd like to sync on a daily basis, toggle the 'Sync Automatically' setting on
- Make sure to also select the 'Sync' button for on demand syncing if you need to add the Roles right away
To View Dynamic Roles That Have Previously Been Synced:
From time to time, you may need to review which Dynamic Roles have access to certain Badges or Catalogs. You may also want to view the particular users who have been assigned that Role. To do either of these things:
- From the Company Admin portal, select 'Roles' from the left side menu
- Select 'Dynamic roles' from the top right tertiary menu
- View the name of the Dynamic Role that was created based on what's in your user data file
- View or jump to any Badges associated with that Dynamic Role
- View or jump to any Rewards Catalogs associated with that Dynamic Role
- View total users or jump to a list of Users assigned to the Dynamic Role
- Identifies which column in your user data file created the Dynamic Role
Adding Dynamic Roles to Badges
Once you've synced in your Dynamic Roles, you'll want to make sure to restrict any Badges you are looking to restrict with these Roles. To do this:
- Select 'Menu' in the upper right-hand corner of your screen
- Select 'Company Admin' from the drop-down menu
- Select the 'Custom Badges' section from the left side menu
- Scroll to the Badge you'd like to restrict and select 'Details' to open the Badge's settings
- Click into the 'Roles' box and scroll to find and select the Dynamic Role of choice
NOTE: Dynamic Roles will be differentiated from Custom Roles by an italicized label. - Click 'Save' once you've added all the Dynamic Roles you want to add to the Badge for sending privileges
Adding Dynamic Roles to Rewards Catalogs
You may want to restrict certain Rewards catalogs to certain users based on workgroup, geography, currency, for example, so that they only see the Rewards that are relevant or available for them to redeem where they are located. To do this:
- Select 'Menu' in the upper right-hand corner of your screen
- Select 'Company Admin' from the drop-down menu
- Select the 'Rewards' section from the left side menu
- Select the 'Settings' button next to the catalog you would like to restrict
- Click into the 'Roles for Access' box and scroll to find and select the Dynamic Role of choice
NOTE: Dynamic Roles will be differentiated from Custom Roles by an italicized label. - Click 'Save' once you've added all the Dynamic Roles you want to add for access to the Rewards Catalog
